Background

Singleton Council is situated in the Hunter Region of New South Wales, around 200 kilometres north-west of Sydney. Sitting on the banks of the Hunter River, the area is home to an estimated population of around 23,000 people. As the biggest contributor of mining royalties in NSW, Singleton is a significant economic hub for the state.

Singleton's Water and Sewer team worked with Symphony3 to connect their field service management platform, Retriever, with Donesafe, their cloud platform for health, safety, risk and compliance. Before starting every job, field workers complete a Check 4 Safety form to assess hazards and identify preventative measures. The integration replicates the Check 4 Safety form inside Retriever and automatically records completed submissions in Donesafe, so field workers can manage their entire job without switching systems.

The Digital Challenge 

Field workers are required to complete a Check 4 Safety form before starting every job. The form lived in Donesafe while jobs were managed in Retriever, forcing workers to switch between two apps on a tablet in the field. Many workers simply did not make the switch, starting the job without a completed form. If an incident occurred, Singleton had no evidence that safety procedures had been followed, leaving the council exposed to serious legal and regulatory risk.

The Vision

Field workers complete the Check 4 Safety form without leaving Retriever. The form is built into the workflow they already follow, so compliance is no longer a separate step that can be skipped. Submissions recorded in Donesafe under the account of the worker who completed it, giving Singleton a clear, auditable record if an incident is ever investigated. The integration is designed to accommodate future changes to the Check 4 Safety form in Donesafe without any disruption to the existing integration.

The Solution

Working in collaboration with Singleton Council, Symphony3 implemented a SmartGlue integration to connect the two platforms. The integration was designed to:

  • Form Replication - The Check 4 Safety form is replicated inside Retriever, so field workers complete it without leaving their primary system.
  • User Identification - Each submission is recorded in Donesafe under the account of the worker who completed it.
  • Field Mapping - All field mapping data is held on the Retriever side, so changes to the Check 4 Safety form in Donesafe do not disrupt the integration.
  • SmartGlue Logging - Every transaction is logged through SmartGlue for full transparency and traceability.

Transformative Results

  • 350 form submissions per month since launch in Sep 2025.
  • Field workers complete the Check 4 Safety form as part of their standard job workflow, with no app switching required.
  • Significant increase in Safety compliance since go-live.
  • Every Check 4 Safety submission is recorded in Donesafe under the account of the worker who completed it.
